THE EMAIL GROWTH SHOW EPISODE 163
Today, we’re talking all about planning ahead – because let’s face it, the end of the year has a way of sneaking up on us, and before we know it, January is here. That’s why this is the perfect time to hit pause, reflect, and map out a plan that actually feels good for 2025.
Now, if you’re like me, you probably have a ton of ideas swirling around about where you want to take your business, but without a clear plan, it can quickly feel overwhelming AF. And here’s the thing: planning isn’t just about setting big goals. It’s about making intentional choices that fit with our lives, our energy levels, and what we genuinely want to achieve.
So today, I’m inviting you into my planning process. I’ll be sharing what I’m doing this month to lay the groundwork for a flexible, profitable year – one that lets us work in alignment with our personal lives and focus on projects that truly matter to us. We’re going to talk about the mistakes that a lot of business owners fall into when they start planning for the new year ahead, the importance of looking back and reflecting before moving forward, and how to use data and intuition to build a year that helps us achieve our goals – both in our personal lives and also in our businesses.
I’m also going to share a couple of audio snippets from a 5 day voxer intensive that I hosted between Christmas & New Year last year called Reignite. During Reignite, I shared my unique approach for reflecting and celebrating the past 12 months – and planning and strategising the next year to come. The method that I follow and shared in Reignite has been EVERYTHING in helping me remain focused, strategic, and unwavering in achieving my goals, both in life and in business. This year, I’m pumped to be able to do this together and empower you to step into 2025 and make it YOUR YEAR. Spaces are always limited to 10 women to keep it intimate and I’m hosting it again this year so if you’re interested in saving your spot and joining me, grab your seat here!
Now, whether you’re a fan of planning or it’s something you tend to avoid, whether you’re going to join me in Reignite or not, I promise in this episode there are tips that you can apply today – and together, make 2025 our most intentional year yet.
So grab your calendar, a notebook, and let’s dive into some planning together!
Okay, so let’s start with some of the usual mistakes people make when planning for a new year. I know these mistakes really well because, trust me, I’ve made all of them! But when we can spot these mistakes, it’s easier to make a plan that actually works for us – which is why we’re here.
The first common mistake is planning month-to-month without an overall vision. This can feel a lot like you’re just jumping from one shiny distraction to the next. Just getting by. We don’t want to spend our time constantly reacting to things as they happen, scrambling each month to figure out what’s next and constantly being in fight or flight mode. Instead, the goal is to build a roadmap that allows us to stay proactive and at the same time, it gives us flexibility to adapt as things evolve & change, as we know they always do.
The second mistake is ignoring data. Now being the data nerd that I am, this one makes me excited to talk about. Why? Because we’re often quick to set new goals but tend to overlook – or even ignore – valuable data from the previous year. Why is this important? Because by reviewing past trends & results in our business and even the industry as a whole, we can make better decisions – and then see better results in the year to come.
… and finally mistake number three is planning in isolation. We sometimes map out goals and launches without fully considering our personal lives and other commitments – hello, mother of two over here. We’ll set up launch dates, deadlines, and big events without thinking about holidays, family events, or even the need for rest. I used to do this ALL the time.
By the time the year is in full swing, we’re exhausted or overwhelmed. Or both.
I used to jam pack my year with the launches or collab events – bundles or summits I wanted to host – and then expect my life to kind of fit around it. That is not how we build a business that supports our life – that is how we become an employee again in our business – and that is not what we’re fucking here for. We’re CEO’s and we’re building a life first, business second.
Which brings me beautifully to my planning process…
Step one in my process is to plan life first.
This is something I’ve always tried to do – but was reminded of by my coach Angela Henderson at a conference just recently.
Life first, Business second. It’s so easy to get caught up in our business goals that we forget our lives should actually come first.
So, before diving into any numbers or strategies, I ALWAYS grab my calendar, pour myself a nice cup of coffee, and start by mapping out my personal priorities for the year before anything else. This could be family holidays, birthdays, family commitments, or even times of the year I want to keep free for rest – this is super important so we don’t burn ourselves out! I block those dates out first. Doing this not only allows me to create a business plan that fits around my life, but it also helps prevent burnout.
For example, I know that I like to take a break at the end of the year, when Spencer is on his school holidays and we have both the boys birthdays – as well as just straight up, LOVING Christmas. So, I build my business goals and launches around that downtime. I also know that I never want to work my own birthday – and especially next year as I turn the big 4.0 – so I want to block some time off for that in June. If I wasn’t doing this first, you can almost guarantee that I would plan something mid year and then feel super fucking resentful at my business for making me work. We’re not here for that and we’re not doing that to ourselves. Our business doesn’t do that to us, we do that to ourselves – so let’s plan our life first and our business can support our life by fitting in around these life first priorities.
If you haven’t tried this before, I highly recommend it! Take a minute now to think about the experiences and personal moments that matter most to you, and let those set the foundation for your year. Trust me, this will give you so much more freedom and flexibility as you move forward – and you’ll start to feel more grateful to the business that you’re building for enabling you to live more of the life you envisage, rather than just feeling like an employee in the business you’ve created (and trust me, I’ve felt that way before which is why I know this well – so no guilt, no shame around this, let’s just do it differently for 2025!)
Once I’ve mapped out my life-first plan, I move on to step two, which is looking back at the year that was. This is where the data comes in. I take time to review what worked well this past year and what didn’t. It’s really tempting to skip over this part, but this is where the magic actually happens… let’s always be the scientist of our businesses and take notice of the story that our data is telling us.
Start by opening up a google doc and putting the months of the year down the side – January through to December. Now, because we’re building a life first, business second, I want you to think about your actual life over the past year. Reflect on each month and make some notes…
I do want to add, once you’ve done this make sure you look at your revenue and your expenses for each month – again jotting it in the google doc. Are there certain times when you saw big jumps or dips? Did any specific strategies, launches, or campaigns really move the needle? Did you try anything that was surprisingly successful, or did something totally flop?
It’s all good information to have.
This exercise really helps me understand the patterns in my business so I can double down on what’s working and let go of what’s isn’t. It also makes it easier to identify any trends, like when my email list is more responsive or times of the year that are better for launching new offers. I can use this data to help me set realistic goals that are grounded in what my business has actually achieved, rather than what I hope might happen!
Next up is mapping out revenue goals. I know this part can feel intimidating, but remember, this isn’t about locking ourselves into anything. It’s about getting a clear picture of our income targets so we know what we’re working toward over the next year.
I start by looking at my revenue from the previous year and setting a stretch goal based on that. I also look at my offers and pricing to make sure they align with my income goals. If you want to grow your revenue, you may need to consider adding new income streams or adjusting your pricing. Be open to it all.
For example, let’s say I have a goal of $200,000 for the year (that is a realistic stretch goal, as transparently, I’m on track to finish the year at around $110,000 in revenue (remember, this isn’t the amount of income I took, this pays for my expenses and tax as well.) So once I have the goal in mind, I’ll break that down by quarter and then decide how I want to reach that goal. Maybe I’ll launch a new product or run a course a few times. But I also make sure to leave room for flexibility – if a new idea comes up mid-year, I want the space to pursue it without feeling locked into a plan – that is the opposite of inspiring to this mani gen.
This brings me to the next step: playing with offer scenarios. This part is really fun and allows us to explore different ways we could potentially hit our revenue goals. Think of it as creating different ‘what if’ scenarios for your business. For example, what if I ran three smaller workshops instead of one large course? Or, what if I launched a mastermind program? How would that impact my revenue and workload? p.s I am looking at launching a mini mastermind that would kick off in February next year, so stay tuned for more info on that!
Now, if you’re a numbers gal like me, you can set up a spreadsheet or calculator to track these scenarios, or you can just sketch it out on paper. The goal is to find the combination of offers and timing that best aligns with your income goals AND your life.
Remember, there’s no one-size-fits-all here, this is about finding what works best for you. Cookie cutter doesn’t work – it needs to be custom to you, your business and your life!
Finally, once I have a rough idea of my revenue goals and offer scenarios, I sync everything up with my calendar. This is where I look at my life-first plan and map my business goals around those personal priorities.
If I know I’m taking a break in June for my birthday, I won’t schedule a big launch around that time. Similarly, if I have a heavy workload planned in February, I’ll give myself plenty of breathing room in January to prepare. Syncing it all with my calendar means I can anticipate busy periods and keep my schedule realistic and balanced – which then makes sure I’m looking after myself and not burning myself out in the process.
This step also helps me ensure that my big projects aren’t competing for time. I’ll mark down important dates, like when I want to start building a new offer or prepping for a launch, and then work backward to break down the tasks leading up to those dates.
By syncing my calendar to my goals, I’m setting myself up to succeed without burning out.
So, i know that felt like a lot but that’s it! By taking those main steps now, I’m setting myself up for a 2025 that feels intentional, manageable, and aligned with what truly matters to me & the life I want to live. I hope this gives you some inspiration to do the same for yourself.
Remember, planning isn’t about having every detail figured out – it’s about creating a roadmap that’s flexible, sustainable, and unique to you.
If you haven’t started planning for next year yet, I encourage you to set aside a little time this month to map out some of these steps. You don’t have to tackle it all at once. Just start by thinking about your life-first priorities and let that guide the rest… and remember, if you want to jump into Reignite and do this together, I’d love to have you! Kylie Kelly [00:06:45]:
For example, I know that I like to take a break at the end of the year because Spencer is on his longest school holidays and we have both the boys’ birthdays in December. As well as straight up, I just fucking love Christmas. So I build my business goals and launches around that downtime. I also know that I never want to work on my own birthday. I did that last year and it was not enjoyable. And, especially next year, I turn the big four o. So I want to block off some time for that in June. And trust me, I have felt that way before, which is why I know this well. So there’s no guilt. There’s no shame around this. Let’s just do it differently for 2025. Okay. Moving on to step number 2.
Kylie Kelly [00:08:26]:
Once I’ve mapped out my life first plan, I move on to step 2, which is looking back at the year that was. This is where the data can come in. I always take time to review what worked well this past year and what didn’t. It’s really tempting to skip over this part, but this is where the magic truly happens. Let’s always be the scientist of our businesses and take notice of the story that data is telling us. So what does this look like? I want you to start by opening up a Google Doc and putting the months of the year down the side, January through December. Now, because we’re building a life first, business second, I want you to think about your actual life over the past year. Reflect on each month and make some notes.
Kylie Kelly [00:09:10]:
I’m going to play now that audio snippet from reignite last year and you can hear my exact process along with some examples of how this works.
Kylie Kelly [00:09:20]:
Okay. So the very, very, very, very first thing that I want you to do for this is actually start to reflect and set the tone of what we are going to be thinking about, what the last 12 months has actually been. So this is when I want you to go through anything you have that has captured the last 12 months. I’ll actually do it in a month by month basis and make some notes. So what this looks like is I open up a Google Doc. I will put January through December written down the side, and then you can go through whatever how have you kept notes. So if it’s a journal, go through your journal. If it is your Instagram archives, it’s your Instagram archives.
Kylie Kelly [00:10:00]:
If it is your camera roll on your iPhone, go through that. Normally, mine’s a combination of my camera roll and my Instagram archives. This is what we’re gonna do today. Alright. So the very first thing I want you to do is open up a Google Doc, a notepad. However, you do write those months down the side and then go through wherever your notes for the year have been, wherever you can look and just get an idea of what each month has been like. What has happened? I want you to make notes of it. Right? And I want you to do this without judgment and just witnessing what’s happened, witnessing what’s what’s actually unfolded in your life for that month.
Kylie Kelly [00:10:37]:
Right? Reflecting on the year as a whole and then breaking it down as to break it down month by month and just witness what happened. Was it, something to celebrate? Was it growth? Was it something really positive? Or was it challenging? Did did some shit go down and it was a struggle. Right? Just jot it all down in as much detail as you possibly can because then this is going to be really, really helpful when you move into day 2. And then we’re gonna be talking about the overall feeling and the energy that we have gotten from every month. But to start with, we need to know what actually happened. So I wanna give you some examples. So I haven’t done the whole process. Like I said, I’m gonna come back in in a little while before we move on to day 2.
Kylie Kelly [00:11:14]:
I’ll come back and just share a little bit more of mine. But the 1st couple of months, I’ve started doing this process alongside you. Right? I’ve started doing this process. So for me, January, it was a pretty fucking challenging month. And I didn’t realize that all this happened in January. I remembered these things happening individually, but I didn’t realize this happened in the whole fucking month. So in January, Sam, my youngest, had his head and needed an ambulance. He fell over and he just sat on the side of the walls, put his forehead open and which client ambulance was a whole thing.
Kylie Kelly [00:11:42]:
It was horrible. He still has a scar from it at the moment, Right? Like, it’s it’s gonna be there for a few years. Absolute horrible experience. That happened in January. Also in January, I had a really challenging mentor relationship end that honestly still impacts me. I’m not still stuck in it or hurt by it. That’s healed. However, it was horrible, and I spent a lot of money with this mentor.
Kylie Kelly [00:12:06]:
And then what happened was just it rocked me to my core. Didn’t realize that also happened in January. My mom also came to visit January, and my relationship with my mom is challenging to say the least. Did not realize that all three of those things happened in the same month, and they were all big things and challenging things for me. Right? So interesting. And then I moved on to February. And in February, I spent some of my eldest, started kindy and then transitioned to primary school. Massive change, right, in our life.
Kylie Kelly [00:12:35]:
Huge piece in his education story, but also, like, as a parent when your first child goes to school. And not only that, but I definitely have, like, high functioning anxiety. And Spencer is not the most outgoing kid. And so there’s a lot of concern there for me with him going to a public school, big school, all the fields. So that happened in February. I also had the idea of the Spotlight Club, right? And I started the founders launch, which started to go recruiting buses from the get go. So that was exciting that that was in February. I also hosted my 1st bundle in February.
Kylie Kelly [00:13:07]:
And you guys both know how obsessed I am now and the results that I got. So that was in February. I was a speaker at a summit. I went and saw Ed Sheeran live in concert, which reignited my passion for live music. I can now glance even just looking at those snippets from January February and see that January was fucking hard. It was a really challenging month for me. And yet February was much more positive and brighter and gave me more. So you can see how granular I’m getting.
Kylie Kelly [00:13:34]:
And this is just going through my camera roll. So I want you to do the same. So write down those months down the side of a doc, Go through your camera roll. Go through your Instagram. Go through your journal wherever you have made notes or documented the unfolding and just just witness what happened. Right? No judgement. Just witness. I would also go through I like to go through my bank statements, my sales transactions and just see what my revenue was like for those months.
Kylie Kelly [00:14:00]:
Often I’ll find that and it’s not always the case, but often I’ll find that there will be even like so for instance, in January, even though it was super challenging for me, I might have had a really high revenue month that month. There’d be some positive silver lining, which I think is really always good to witness as well. Not always, of course. Some months just shit, right? But sometimes there is a little bit of a silver lining there as well. So I would also go through revenue and note down like what personal business, all of it, this is witnessing your life unfolding. Make all those notes and then I will be coming back to share more of my area and we’ll be moving into day 2, which is the reflections part 2. And this is where we get an even more specific. I like to go through after this each month and then ask myself specific questions about each month.
Kylie Kelly [00:14:45]:
And then we look back at, intentions for the year that we said. Do we have a part of the year? Do we have any information? So we’re gonna go be a little bit more specific before we move on to celebrations in day 3, setting some intentions in day 4, and then getting super specific strategy. So as you can see, this is like setting the groundwork. This is the framework. And we need to look at this to even know what happened to me. How did the year unfold? And why do we feel the way we feel about it?
Kylie Kelly [00:15:12]:
So that’s exactly how I tackle this step in the process. In detail, witnessing both my life and my business. I do want to add, once you’ve done this, make sure you look at your revenue and your expenses for each month. Again, jotting it down in that Google Doc. Are there certain times when you saw big jumps or dips? Did any specific strategies, launches, or events really move the needle? Did you try anything that was surprisingly successful? Or did something totally flop? It is all good information to have. This exercise really helps me understand each year the patterns in my business, so I can double down on what’s working, and also let go of what isn’t. It also makes it easier to identify any trends, like when my email list is more responsive, or times of the year that are better for launching new offers. I can use this data to help me set realistic goals that are grounded in what my business has actually achieved rather than what I hope might happen.
Kylie Kelly [00:16:09]:
It also allows me just to sit in the gratefulness of what unfolded, of what I handled. The good, the bad, and the ugly. Right? I can look back at the year that was, look at my life, look at my business, witness what actually happened, and then take all of that information when I start to map out the year to come. So then next up is mapping out your revenue goals. Now, I know this part can feel intimidating, but remember, this isn’t about locking ourselves into anything. It’s about getting a clear picture of our income target, so we know what we’re working it towards over the next year. So I start by looking at my revenue from the previous year and setting a stretch goal based on that. I also look at my offers and my pricing to make sure they align with my income goals.
Kylie Kelly [00:16:54]:
If you want to grow your revenue, you may need to consider adding a new income stream or adjusting your pricing. Be open to it all. For example, let’s say I have a goal of 200,000 in revenue for the year. Now, between you and I, that is a realistic stretch goal as, transparently, I’m on track to finish this year at around about a 110 in revenue. Now, remember, this isn’t just a flashy income mention. I’m popping into my podcast because we don’t fucking do that here. This isn’t the amount of income that I took. This isn’t the amount of money that is in my bank account.
Kylie Kelly [00:17:29]:
This also pays for my expenses and my tax as well. My income was much less than that. So once I have the goal in mind, I’ll break that down by quarter and then decide how I want to reach that goal. Maybe I’ll launch a new product or run a course a few times. But I also make sure to leave room for flexibility. If a new idea comes up midyear, I want the space to pursue it without feeling locked into a plan. That is the opposite of what is inspiring to this many gen. Right? So leave room for fun.
Kylie Kelly [00:17:58]:
Leave room for flexibility. Then I want you to start playing with your office scenarios. So this part is, kind of, really fun. It allows us to explore different ways that we could potentially hit that revenue goal, and we get to be a bit creative. Think of it as creating different, like, what if scenarios or choose your own adventures, right, for your business? For example, what if I ran 3 smaller live workshops instead of 1 large course? Or what if I launched a mastermind program? How would that impact my revenue and my workload? PS, I am looking at launching a mini Mastermind that would kick off in February next year. So stay tuned for more info on that. Now, if you’re a numbers girl like me, you can set up a spreadsheet or a calculator to track these scenarios and test them out, or you can just sketch it out on paper. The goal is to find the combination of offers and the timing that best aligns with your income goals and your life.
Kylie Kelly [00:18:53]:
Remember, there’s no one size fits all here. This is all about finding what works best for you. Cookie cutter does not work. It needs to be custom to you, your business, and your life. Finally, once I have a rough idea of my revenue goals and my offers, I sync everything up with my calendar. This is where I look at my life first plan that we talked about at the start and I map out my business goals around those personal priorities. If I know I’m taking a break in June for my birthday, I’m not going to schedule a big launch around that time. Right? Similarly, if I have a heavy workload planned for Feb, I’ll give myself plenty of breathing room in January to prepare.
Kylie Kelly [00:19:31]:
Syncing it all with my calendar means that I can anticipate busy periods, but also keep my schedule realistic and pretty balanced, which then makes sure I’m looking after myself and not burning myself out in the process. This step also helps me ensure that my big projects aren’t competing for time, aren’t overlapping. I’ll be able to mark down important dates, like when I want to start building a new offer or prepping for a launch, and then work backwards to break down the tasks leading up to those dates. By syncing my calendar to my goals, I’m setting myself up to succeed without burning me the fuck out. So I know that this episode feels like a lot. I know that was a lot to go through. But those steps are the foundation or the core of how you can start to strategically plan for 2025. By starting to tackle those main steps now, you can set yourself up for a 2025 that feels intentional, that feels manageable, that feels aligned with what truly matters to you and the life you want to live.
Kylie Kelly [00:20:31]:
I really hope that this episode gives you some inspiration to do this for yourself right now. Remember, planning isn’t about having every single fucking detail figured out, as nice as that would be. It’s about creating a roadmap that’s flexible, so that you can have fun with, that’s sustainable, so it feels really good, and that’s unique to you and the life that you’re building. Now, if you haven’t started planning for next year, I encourage you to set aside a little bit of time this month to map out some of these steps. You don’t have to tackle it all at once. Just start by thinking about your life first priorities and let that guide the rest. Remember, life first, business second. And, of course, if you want to jump into reignite and do this together, I would absolutely love to have you.
